Terms & Conditions Effective Date: 26th May 2025

In the following conditions of contract, “Vin Virdi” shall mean Johara Consultancy LTD, trading as Vin Virdi, or any makeup artist(s) appointed by or working on behalf of Johara Consultancy LTD.
“The Client(s)” shall mean the person(s) whose name(s) appear on the booking confirmation or who are responsible for the payment of the services.

Where the Client(s) arrange for a third party to meet the costs of this contract, the contractual relationship remains with the Client(s), who retain full responsibility for compliance with these Terms.

The due performance of this contract is subject to the conditions set out herein. These Terms and Conditions may not be varied in any way by the Client(s) unless expressly agreed in writing by Vin Virdi.

These Terms and Conditions may be updated at any time without prior notice and replace all previously issued versions. The most current version will always be available at vinvirdi.com.

Scope of Services

All services are performed with reasonable care and skill, as required under the Consumer Rights Act 2015. Services will be delivered as outlined in the booking confirmation. Vin Virdi may use qualified assistants or subcontractors as necessary.

Booking & Deposit

  • A non-refundable deposit of 50% is required to secure all bookings.
  • A booking is not confirmed until the deposit has been received and written confirmation is issued.
  • Enquiries made via WhatsApp, Instagram, email, phone, or any other channel do not constitute a confirmed booking until the deposit is received and written confirmation is issued by Vin Virdi.
  • The deposit is deducted from the final balance.
  • By paying the deposit, the Client agrees to these Terms.

Trials

  • Trials are strongly recommended but not mandatory.
  • Trial fees are charged separately and are non-refundable.
  • Trials are intended to refine styling preferences and schedules but are not allergy tests.

Final Balance & Payment

  • The remaining balance is due no later than 14 days before the Event.
  • Accepted payment methods: bank transfer (preferred) or pre-approved cash.
  • If payment is not made by the deadline, Vin Virdi may cancel the booking and retain the deposit.
  • For bookings made less than 14 days before the Event, full payment is required immediately.
  • In certain cases (at Vin Virdi’s discretion), the balance may be paid on the Event day, but must be received before the Artist departs.
  • Overpayments: if a payment is made to the wrong amount in error, Vin Virdi will refund the excess within 14 business days of notification, less any bank charges reasonably incurred in processing the refund.

Non-Payment & Debt Recovery

Failure to pay the balance in full on the Event day constitutes a breach of contract. In such cases, the Client will be liable for:

  • A late fee of £50 per day, and
  • All reasonable debt recovery and legal costs.

Vin Virdi reserves the right to pursue recovery through a debt collection agency or issue a legal claim via the County Court Money Claims Centre (CCMCC). Interest may accrue at the statutory rate in accordance with the County Courts Act 1984.

Amendments & Reductions

  • Any changes to the booking — including date, start time, location, services, or party size — must be made in writing and are subject to availability.
  • Changes to start time or event location must be confirmed at least 48 hours in advance.
  • Last-minute changes (less than 48 hours’ notice) may not be accommodated and do not entitle the Client to a refund if services cannot be delivered as a result.
  • Reductions in party size made less than 14 days before the Event will not reduce the total fee payable.

Client Cancellation

  • All cancellations must be made in writing (by email).
  • Deposits are non-refundable in all cases, regardless of when the cancellation is made.
  • For bridal bookings: if the Client cancels within 30 days of the Event date, the full deposit will be forfeited.
  • For party bookings: if the Client cancels within 14 days of the Event date, the full deposit will be forfeited.
  • Deposits may be transferred once to a new date within 12 months, subject to availability.
  • No refund will be issued for same-day cancellations or no-shows.
  • If a refund is due (other than the deposit), it will be processed within 14 business days.

Artist Cancellation

If Vin Virdi is unable to attend due to emergency or illness, all efforts will be made to find a suitable replacement. If no substitute is available, a full refund of all monies paid (including deposit) will be issued. Vin Virdi’s liability is strictly limited to the amount paid.

Force Majeure

Neither party shall be liable for cancellations due to events beyond their control (e.g., fire, flood, pandemic, severe illness). In such cases, services may be rescheduled or refunded proportionately.

Travel & Accommodation

  • Travel beyond 5 miles of Ilford is charged at £0.50 per mile (round trip).
  • Parking charges, tolls, congestion fees, and additional travel expenses are payable by the Client.
  • Start times before 4:00 AM will incur an early start fee or overnight accommodation, to be agreed in advance.

Punctuality & Lateness

  • The Client and party must be ready at the agreed time.
  • A £50 per hour (or part thereof) waiting fee will be charged for delays caused by the Client.
  • If delays prevent full delivery of services, the full agreed fee remains payable.

Environment & Working Conditions

  • The workspace must be clean, safe, and well-lit (natural light preferred).
  • A table, chair, and power outlet must be made available.
  • The Client must ensure that any electrical supply provided is safe and suitable for use with professional hair styling equipment. Vin Virdi accepts no liability for damage or interruption where the electrical supply is unsafe, faulty, or unavailable.
  • Inadequate or unsafe working conditions may result in reduced service or cancellation without refund.

Children & Safety

  • The Client must ensure children are kept away from Vin Virdi’s makeup, tools, and equipment at all times.
  • Heated equipment and cosmetics can pose injury risks.
  • Vin Virdi is not liable for injuries or damages caused by children.
  • Any damage caused by children or the Client to Vin Virdi’s equipment or products will be billable to the Client.
  • Repeated safety risks or distractions may result in services being paused or cancelled without refund.

Services for Minors (Under 18s)

Where services are provided for individuals under 18 (for example, party hair and makeup, prom events, or flower girls), the booking and consent must be completed by a parent or guardian, who will remain the contracting party and fully responsible under these Terms.

Allergies, Health & Hygiene

  • The Client is solely responsible for disclosing, in advance, any allergies, sensitivities, or medical conditions for themselves or any member of their party. If no disclosure is made, the Client accepts full responsibility for any reaction or adverse outcome.
  • Vin Virdi does not provide patch tests. If the Client has concerns about product sensitivity or reactions, they must inform Vin Virdi in advance.
  • By proceeding with services, the Client acknowledges that the application of cosmetic products and the use of heated styling equipment carries a small risk of skin irritation, allergic reaction, or minor burns. Vin Virdi takes all reasonable precautions but is not liable for adverse outcomes where relevant information has not been disclosed.
  • Vin Virdi may refuse service if, in their professional judgement, it would be unsafe to proceed (for example, in cases of infectious conditions).
  • Vin Virdi follows strict hygiene protocols and uses sanitised tools and disposables.

Products, Tools & Availability

  • Vin Virdi maintains a professional kit with a wide range of high-quality products, tools, and colours suitable for most skin tones and hair types.
  • While every effort is made to accommodate preferences, specific products, shades, or accessories (such as particular eye shadow colours, false lashes, or hair extensions) may not always be available on the day.
  • If the Client requires a specific product, brand, or accessory, this must be requested in advance. Additional charges may apply where special purchases are required or where the Client requests the use of their own products or hair pieces.
  • Vin Virdi accepts no liability for disappointment or dissatisfaction arising from the unavailability of a particular product if it was not requested and agreed in advance.

Satisfaction & Refunds

Hair and makeup are creative and subjective services. Vin Virdi undertakes to carry out all services with reasonable care, skill, and professional standards. Where a trial has been offered and declined, or where the agreed style has been delivered, dissatisfaction with the finished look does not constitute a failure to provide services with reasonable care and skill and does not entitle the Client to a refund or reduction in fees. Refunds will only be considered where services have not been delivered in accordance with these Terms.

Liability & Insurance

Vin Virdi holds public liability insurance. Liability is limited to the total amount paid for the booking. Vin Virdi is not liable for indirect loss, dissatisfaction due to Client choices, or undisclosed allergies. Nothing in these terms excludes liability for personal injury or death due to negligence.

Photography & Social Media

  • Vin Virdi may take and use photographs or videos of completed looks for their portfolio, website, and social platforms.
  • No identifiable images will be posted before the Event without consent.
  • Clients may opt out of media use by providing written notice in advance.
  • Images shared by photographers may be reposted by Vin Virdi with credit and consent.

Data Protection

Vin Virdi complies with the UK GDPR and Data Protection Act 2018. Client data is used solely for communication, scheduling, and legal compliance. Clients may request data access, updates, or deletion at any time. For more details, see our Privacy Policy.

Conduct & Behaviour

Mutual respect is required. Vin Virdi reserves the right to end the session immediately without refund if subjected to abuse, harassment, or unsafe behaviour.

Third-Party Payments

If payment is made by someone other than the Client, the Client remains fully responsible for the booking and all outstanding amounts.

Intellectual Property

All look designs, face charts, and content created by Vin Virdi remain the intellectual property of Vin Virdi. These materials may not be reused commercially without written permission.

Severability

If any provision of these Terms is found to be unlawful, void or unenforceable, that provision shall be deemed severed to the extent necessary and shall not affect the validity and enforceability of the remaining provisions.

Dispute Resolution

Disputes should be raised in writing. If unresolved, disputes will be handled under the exclusive jurisdiction of the courts of England and Wales.

Governing Law

These Terms & Conditions are governed by the laws of England and Wales.

Entire Agreement

This agreement constitutes the full understanding between Vin Virdi and the Client. No oral or informal communication shall override these Terms unless agreed in writing.

Client Confirmation & Acceptance

By paying a deposit or confirming a booking, the Client agrees to these Terms and Conditions in full.
